Terms and Conditions

These terms and conditions of registration apply to all conferences and events offered by the Cardiovascular Research Foundation® (“CRF®”) and are subject to change by CRF®. Terms and conditions that are specific to a conference can be found on the official conference website and are incorporated into these registration terms and conditions. As the organizer of the conference, CRF® will strictly enforce these terms and conditions of registration.

You are required to register for each conference regardless of whether attendance is in person or online and only registered attendees will be able to attend in person and/or log on to the conference website. Access to conference sessions, the exhibit hall, networking events, and other conference-related activities is restricted to registered participants only. Guest badges are not available.

  1. General Policies For All Attendees

    The following policies apply to all attendees of the CRF® Center For Education conferences (i.e., whether attending in person via Full Access, or if applicable, One-Day Access, Hall Access Only, or online only via Online Access):

    By registering for the conference, you agree that you bear total, complete, and sole responsibility for all of the costs and risks associated with attending the conference. Under no circumstances will CRF® or CRF®-associated/affiliated entities, agents, or assigns, bear any responsibility or have any liability to you or to any institution, company, or other entity or organization with which you may be affiliated, even if the conference is canceled, in whole or in part, and regardless of the reason, for any and all costs incurred by you or by any institution, company, or other entity or organization with which you may be affiliated in connection with attending the conference, including, but not limited to, registration fees; lodging/housing costs; travel, including airfare (both going to/or leaving the conference); and/or associated/incidental charges, including (for the avoidance of doubt), any and all costs incurred for or related to quarantine, illness, and/or medical testing or treatment. In connection with the foregoing, you hereby unconditionally release CRF® and CRF®-associated/affiliated entities, agents, or assigns, in all respects to the fullest extent permitted by law from any and all responsibility and liability and expressly waive any and all claims that you may have against CRF® and CRF®-associated/affiliated entities, agents, or assigns, in connection with and resulting in any way from your attendance of the conference.

    1. Cancellation Policies
      • Cancellation of Conference:

        CRF® reserves the right, in its sole discretion, to unilaterally terminate any conference, in whole or in part, because of circumstances beyond the control of CRF® including, but not limited to, civil disturbance; natural disasters; electrical outage; explosion; fire; freight embargo; strike or labor unrest; epidemics and/or pandemics including COVID; severe weather; other acts of God; or an act of war, terrorism, any government or any government agency or official; curtailment of transportation; or other events which make it illegal, impossible, or commercially impracticable to hold the conference. In these circumstances, you expressly agree to waive any claim you may have against CRF® and CRF®-associated/affiliated entities, agents, or assigns for damages or compensation in connection with and resulting in any way from the cancellation of the conference including, but not limited to, registration fees, lodging/housing costs; travel, including airfare (both going to/or leaving the conference); and/or associated/incidental charges.

      • Cancellation of Registration:

        Please refer to the official conference website. The policies set forth on the official conference website are an integral part of these registration terms and conditions.

    2. Certification

      You certify that all of the information provided by you in connection with your registration for the conference is true and accurate. Violation of this policy may result in you being banned from attending or participating at the conference and/or any future CRF®- sponsored/managed events. All registration information may be subject to further verification by CRF®. CRF® will reach out directly should additional information be needed.

    3. Code of Conduct

      To make the conference experience enjoyable for all conference participants, you are asked to comply with the CRF® Code of Conduct which is incorporated into these terms and conditions. 

    4. Discounts/Promo Codes (when applicable)

      By utilizing any discount/promo code, you acknowledge and confirm you meet all the eligibility requirements for use of such discount/promo code as conveyed by CRF®. Should you be found to not meet the criteria for use of the discount/promo code, the discount/promo code may be revoked, and you will be obligated to pay the full difference between the discounted rate and the prevailing applicable rate. Any outstanding balance must be paid before registration is confirmed.

    5. Electronic Communications and Electronic Signatures

      You agree to be bound by any affirmation, assent, or agreement you transmit through CRF® websites, or an application associated with a conference, including but not limited to, any consent you give to receive communications from CRF® solely through electronic transmission. You agree that when you click on “Accept”, “I agree,” “I consent,” “I have read and accept” or other similarly worded “button”, entry field or check box, your agreement or consent is legally binding and enforceable and the legal equivalent of your handwritten signature.

    6. Privacy Policy

      When you register for a conference or event, you acknowledge and agree that your personal information will be processed by CRF® in the United States as necessary for CRF® to complete your registration and for you to attend the conference or event in accordance with these terms and conditions, the CRF® Privacy Policy and the selections you or your authorized representative made during the registration process. Please review the CRF® Privacy Policy as it contains important information about your privacy rights and is incorporated into these terms and conditions. If you are attending the conference in person, please also review the Industry Sponsored/Supported Sessions and Booths policy below as it also contains relevant privacy information. 

    7. Physician Payments Sunshine Act

      In order to help industry supporters and/or sponsors comply with the Physician Payments Sunshine Act, the names and contact information of all US licensed physicians participating in industry supported functions or other events at the conference will be provided to the industry supporters and/or sponsors of that function. The information provided will be used for reporting purposes only as part of the Physician Payments Sunshine Act submission and may appear on the CMS Open Payments website.

    8. Group Registration/Registering on Behalf of Someone Else

      Group registration is permissible for designated conferences. If you are registering on behalf of anyone other than yourself ("prospective attendee(s)"), you represent and warrant that you are authorized to complete the registration, accept these terms and conditions, Code of Conduct and Privacy Policy on behalf of each such prospective attendee(s) that you register, and that the information you provide is accurate. You agree to be solely liable for any damages as a result of any information you provide, including opting-in to receiving communications at a prospective attendee(s)’ email address. You agree to indemnify and hold harmless CRF® and its officers, directors, employees, agents and affiliates from all liability, damages, judgments and costs (including reasonable attorneys' fees) for any claims brought by or on behalf of any third party arising from your conduct, misconduct or negligence in completing the registration on a prospective attendee(s)’ behalf. You agree to provide (or have provided) a copy of these terms and conditions, Code of Conduct and Privacy Policy to the prospective attendee(s) and agree to be jointly accountable for any violation of these terms and conditions, Code of Conduct and/or Privacy Policy by any prospective attendee(s) you registered, which may result in you and/or each such prospective attendee(s) being unable to attend the conference, in whole or in part, and/or being banned from attending or participating at any future CRF®-sponsored/managed conferences or events.

    9. Social Media

      CRF® promotes the free exchange and rapid dissemination of research and educational content from all CRF® conferences. The slides from CRF®-sponsored courses and symposia are immediately posted on TCTMD® and if applicable, on CRF Connect® website to facilitate scientific discourse and enhance patient care.

      Communicating through social media is welcome and strongly encouraged, provided that, embargo rules are honored. Photographs, screenshots, images of slides from sessions, and brief audio/video clips can be shared via social media. However, posting or live streaming entire presentations, sessions or live cases (the latter to respect patient privacy) and use of any CRF® course content for commercial, marketing, or other purposes not in keeping with the spirit of scientific discourse is strictly prohibited.

    10. Substitutions

      Unless stated otherwise, registrations cannot be transferred from one person to another, and substitutions are prohibited.

    11. Verification of Registration Types

      By registering for a registration type (e.g., fellow, physician, industry, etc.), you certify that you meet the definition of that registration type. Definitions of each registration type can be found on the conference specific website. CRF® will reach out directly should additional information be needed to verify your registration information. Incorrect or inaccurate registrations will not be refunded, and violation of this policy may result in you being banned from attending or participating at the conference and/or any future CRF®- sponsored/managed events.

    12. Wire Transfers and Check Payments

      Acceptable forms of payments are credit card, check, or wire transfer. A registration is not considered valid until payment in full has been received by CRF®.

  2. On-Site Policies for Full or Partial Access Attendees

    The following policies apply to all in person attendees of the conference (i.e., attending via Full Access, or if applicable, One-Day Access).

    1. Badge Changes and/or Reprints

      Any on-site badge changes or reprints will incur a US$75.00 fee per change/reprint.

    2. Badge Photos

      For designated conferences, registrants must upload a headshot that will be printed on your conference badge. Badges will not be printed without a recent (i.e., taken within the last 6 months) headshot. Offensive or obscene photos will be declined and will not be printed on-site.

      CRF® reserves the right to reject any uploaded photo and require the registrant to have their photo taken on-site prior to issuing a badge. Registrations are not considered confirmed until a photo is provided. Photos will only be used on the conference badge and for no other purpose. Uploaded photos must adhere to the following guidelines:

      • Frontal view with face clearly visible:
        • Use a clear, color image of your face. Do not use filters.
        • Zoom in to your face, especially if there is a busy or distracting background. Your face should take up at least ¾ of the picture space.
        • Wearing hats, sunglasses, or other items that obscure your face or features is discouraged and will cause your photo to be declined.
      • No avatars, emojis, or digitally created images will be accepted:
        • Photos of cartoons, caricatures, avatars, animals, or AI generated images will not be accepted.

    3. Behavior Analytics

      In addition to the normal photos and videos taken during an event, CRF® is using a cutting-edge service to measure traffic and engagement levels. The service employs state-of-the-art AI technology to convert the physical environment into anonymous numerical data, offering group-level insights without compromising individual privacy. No personally identifiable information will be stored or retained in any form. No attempt will be made to match video images and your identity.     4. Capacity Limitations

      A conference badge allows an attendee entry to the conference, and to certain areas and sessions, based on the attendee’s registration type or package purchased. It does not guarantee admission to every session, lounge, or meeting area. Admission is also subject to venue and room capacity limits as well as other requirements, as applicable.

    5. Children and Guests

      Due to the professional nature of the conference, CRF® does not allow anyone under 16 into the scientific presentations, Exhibit Hall, or the industry rooms at any time. Nursing infants (up to 12 months) will be allowed (a) in the industry rooms only if allowed by the Industry group managing the room; (b) only if such infants are held at all times; strollers, infant carriers and other portable infant equipment are strictly prohibited; and (c) only if a parent has signed a liability waiver. Waivers will be available at the registration desk. Badges will need to reflect that a waiver has been signed. CRF® reserves the right to deny or revoke access to any part of the conference to parents, infants and/or children found to be in violation of this policy. Infant changing stations are located in all restroom facilities.

      Attendees are not permitted to bring guests, including spouses and family, to conferences or to any pre- or post- events occurring at the conference. If you have others traveling with you, they will need to register to access, attend or participate in any of the conference. Guest badges are not available.

    6. Health and Safety Measures

      Please refer to the official conference website and, when on-site, comply with all the health and safety measures, including any communicated by the venue. The policies set forth on the official conference website are an integral part of these registration terms and conditions.

    7. Identification at Registration

      Attendees are required to present a valid photo ID at registration in order to collect registration materials. Unless a group has arranged for an advance group pickup of badges, individuals may only collect their own individual registration materials. This procedure is in place to protect registration materials from getting lost and to allow CRF® to monitor accurate attendance.

      Registration materials will not be provided without a valid photo ID.

    8. Industry Sponsored/Supported Sessions and Exhibitor Booths

      When your badge is scanned at exhibitor booths you are opting in to receiving communications from that entity. You will be subject to that exhibitor’s communications and privacy policy and must opt out with them directly. CRF® does not endorse, screen, or approve, and is not responsible for any exhibitor’s privacy practices or policies. Scanning of your badge at an exhibition booth is strictly voluntary.

      When your badge is scanned at industry supported and/or sponsored sessions or events (e.g., satellite programs, hands on training, industry luncheons, etc.) your information is provided for administrative, logistical, and if applicable, legal reporting purposes, however, depending upon your opt-in selections during the registration process, you may also receive communications from the industry sponsor.

      Nothing contained in the exhibits, sponsorships or industry supported programs represents the views or opinions of CRF® or its affiliates. CRF® does not accept liability of any kind with respect to the exhibits or any product or service referred to in the exhibits.

    9. Loss of Badge Credentials

      Conference badges must be worn at all times while on-site at the conference or conference-related events. CRF® reserves the rights to revoke or deny attendance of any registered participant, faculty/speaker, exhibitor, or media at the conference who cannot present a valid conference badge. Loss of badge credentials will result in a US $75.00 reprint fee.

    10. Lost and Found

      If you lose or find an item, please go to the Registration area.

    11. One-Day Access

      One-Day Access is available for certain conferences - please refer to the official conference website for the One-Day Access Policy specific to the conference. The following rules are applicable to all One-Day Access:

      • Badge Pickup: You will be able to pick up your badge only on the day you’ve chosen to attend and must return it to the designated registration counter at the conference by the close of registration on the day of your attendance.
      • Badge Return: If you do not return your One-Day Access badge prior to the close of registration on your day of attendance, the credit card on file for your registration will be automatically charged the Full Access registration fee for the designated registration category of the conference.
      • Downgrades: Refunds will not be issued for changing from Full Access to One-Day Access.
      • Single Purchase: Multiple One-Day Access cannot be purchased. If you wish to attend more than one day of the conference, you must register for Full Access. The prevailing Full Access registration rate will apply.

    12. Pets

      Pets and other animals, with the exception of service animals (as defined by the ADA and applicable state law), are not allowed at the conference or at conference-related events and are also subject to the venue’s rules and regulations relating to pets/animals. CRF® reserves the right to exclude any service animals that pose a threat to the health and safety of others or that is disruptive to the conference or conference-related events.

    13. Photography Use Notice

      During the conference, attendees, vendors, speakers/faculty, and others may be photographed and videotaped by CRF® or CRF®-designated vendor(s) capturing the event. Some of these photographs or videos may be displayed by CRF® in publications or materials connected with the conference or other CRF® conferences. You hereby grant CRF® an irrevocable, worldwide, sublicensable, royalty-free, fully paid-up license to reproduce, copy, edit, display, share, create derivative works, or otherwise use any photos, videos, or audio recordings taken of you (whether individually or as part of a group) by CRF® or CRF®-designated vendor(s) during the conference or any other conference-related activity or event for (a) promotional/marketing use (e.g., brochures, association publications, and web-based media such as blogs, websites, e-newsletters, etc.) and (b) such use as is reasonable and customary for conferences. You hereby agree to unconditionally release and hold harmless CRF® and CRF®-associated/affiliated entities, agents or assigns, from all claims, demands, causes of action, and liability related to the use of such materials.

    14. Prohibition on Badge Swapping, Sharing, Duplicating or Lending

      Each person attending a CRF®-sponsored/managed conference will be issued a conference-specific badge bearing that person’s name and photo. You must have the badge bearing your own name and photo in your possession at all times while on the premises at which the conference is taking place. THE SWAPPING, SHARING, DUPLICATING OR LENDING OF A CONFERENCE BADGE TO ANY OTHER PERSON IS STRICTLY PROHIBITED. Anyone found to be wearing a badge that does not bear that person’s name and photo will have the badge immediately confiscated and will be escorted from the premises. Additionally, the attendance privileges of the person whose name and photo appears on the confiscated badge will be revoked and that person will also be escorted from the premises. No replacement badges will be provided, and no refunds will be made, in whole or in part, for violating this policy.

      Violators of this policy (the person to whom the badge was issued, the person found to be in possession of the badge, and where appropriate, the company that purchased the badge) may also be banned from attending or participating at any future CRF®-sponsored/ managed conference or event. Additionally, in instances where an exhibiting/industry company is found to have violated this policy, the exhibiting/industry company will be penalized with a reduction in priority points. In cases where CRF® is willing to permit a person found to be in violation of this policy to once again have access to the conference, the person or the exhibiting/industry company, as applicable, will be required to re-register and will be charged the full cost of the additional registration. All decisions regarding compliance with or violation of this policy will be made by CRF® in the sole and exclusive discretion of CRF®.

    15. Recordings (Audio, Video, and Still Photography)

      If not disruptive, photography (non-flash only) and brief audio, video, or screen recording using hand-held equipment for strictly personal, educational, and/or social use (in accordance with the CRF® Social Media policy above) are permitted at all CRF® conferences as determined solely by CRF®. Substantial portions of posters, slides, and/or presentations may not be copied or reproduced in any form for sale, marketing, commercial, or other use. CRF® reserves the right to limit recordings on-site if deemed necessary. Recordings and/or photographs may not be used for commercial purposes, public distribution, or promotion without obtaining prior written approval from CRF® and/or any individuals whose images or likenesses are captured.

      Industry may film, record, or photograph activities in their own meeting rooms for promotional purposes only upon prior written consent from CRF®.

      Exhibitors may have designated private and/or invite-only areas within their booths. Photography or recording in these areas is strictly prohibited without the express consent of the applicable exhibitor.

      Media representatives must obtain approval and camera tag from CRF® before filming, screen recording, or taking photographs for the purpose of original news or social media coverage. Please note that once approval to film and/or photograph is obtained, filming, videotaping, and photography are limited to agreed-upon terms.

      CRF® retains copyright and intellectual property rights over all conference-related content and materials. Conference participants wishing to use conference-related content and materials must contact CRF® for written authorization, which CRF® may withhold in its sole discretion.

    16. RFID/Beacons (If applicable)

      Traffic to and from session rooms, theaters, the Exhibit Hall, etc. at the conference may be captured using radio-frequency identification tags. Registration badges may have a smart label/affixed device that is synced with your registration ID. As you enter and exit various public areas of the conference, your registration information will be captured by electronic readers. The information obtained through this process will be used exclusively by CRF® and its Organizational Committee to measure attendance and to analyze aggregated data for our internal business purposes. We may also use this information to send promotional and information communications that we think may be of interest to you. You have the option of requesting that the RFID tag not be attached to your badge at the time you pick up your badge. Additionally, if you do not request to have the tag removed, you will later have the option not to receive promotional e-mails by using the “unsubscribe” link included in each promotional e-mail.

    17. Smoking/Vaping

      Unless otherwise permitted by applicable law, smoking/vaping on premises is prohibited except in specifically designated smoking/vaping areas and in all cases subject to the rules of the venue where the conference or conference-related events are being held.

    18. Security Procedures

      It is important for CRF® to provide a safe experience for attendees therefore all attendees, including faculty, staff, exhibitors, and suppliers, are required to comply with the following:

      • Conference badges must be worn at all times while on premises at the conference. For safety, please remove your badge when leaving the venue.
      • Attendees must follow the instructions of security personnel at all times.
      • The conference venue may be subject to video surveillance, maintained and kept by the specific venue.

    19. Unauthorized Solicitation

      Any company or representative of a supplier who is not industry and is observed to be soliciting business at the conference, in another company’s meeting space, or in any other area of the conference deemed inappropriate by CRF®, will be asked to leave immediately. Unauthorized solicitation in the event space or technical programs is strictly prohibited.

    20. Unsecured Items

      Personal belongings such as briefcases, backpacks, purses, coats, book bags, laptops, tablets, or mobile devices should not be left unattended in meeting rooms or public areas. These items are the responsibility of their owner and CRF® will not be held responsible for their safekeeping should they become lost or stolen. Additionally, any unattended items may be subject to removal by security upon being discovered.

    21. Venue Rules

      By choosing to attend the conference in person, you hereby agree to abide by all rules and regulations imposed by the venue (e.g., convention center, arena, hotel, etc.) where the conference or conference-related events are being held.

    22. Weapons

      No firearms, or weapons of any kind are permitted on-site at CRF® conferences, including on the exhibit floor. Replicas of weapons are also not permitted.

  3. Policies for Online Attendees

    All online attendees of the conference (i.e., attending via Online Access) are expected to comply with the Terms and Conditions of Use of CRF® websites, which are fully incorporated herein.

    1. Each person attending a CRF®-sponsored/managed conference via Online Access will log in with their own unique username and password. THE SWAPPING, SHARING, OR LENDING OF LOGIN CREDENTIALS TO ANY OTHER PERSON IS STRICTLY PROHIBITED. Anyone found to be in violation of this policy will have their access privileges revoked.

      Violators of this policy (the person to whom the login credentials belong to, the person found to using another person’s login credentials, and where appropriate, the company that purchased the Online Access) may also be banned from attending or participating at any future CRF®-sponsored/managed conference or event. In cases where CRF® is willing to permit a person found to be in violation of this policy to once again have access to the conference, the person or the exhibiting/industry company, as applicable, will be required to re-register and will be charged the full cost of the additional registration. All decisions regarding compliance with or violation of this policy will be made by CRF® in the sole and exclusive discretion of CRF®.

  4. Modifications to the Terms and Conditions

    CRF® may update and modify these terms and conditions, including any policies hyperlinked in these terms and conditions, at any time by posting a revised version on a conference website or CRF® website. The updated terms will become effective upon posting. CRF® has no obligation to directly notify you of changes to these terms and conditions. By registering for or attending a conference after CRF® has posted an updated version of these terms and conditions, you expressly agree to be bound by the updated terms. It is your responsibility to check the conference website regularly for updates to these terms and conditions. 

  5. Governing Law

    These terms and conditions and all matters arising out of or relating to attending a conference, whether in contract, tort, by statute or otherwise, are governed by and construed in accordance with the laws of laws of the state of New York in the United States without giving effect to the conflict of law provisions. You agree to submit to the exclusive jurisdiction of the courts of New York, New York in the United States.
